This policy explains how KA Cleaning collects, uses, and protects your personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who We Are
KA Cleaning is the data controller responsible for your personal data. KA Cleaning is a partnership of Kamran Khan and Kai Reid.
2. What Data We Collect
When you submit our contact form we collect:
- Your name
- Your email address
- Your phone number (optional)
- The service you are enquiring about
- Your message
When you submit a review we collect:
- Your name
- Your star rating
- Your review text
We also automatically collect your IP address for two purposes:
- Spam and abuse prevention on our contact and review forms.
- Basic visitor statistics. Like every website, our web server records each request it receives, including the visitor's IP address, the page requested, the device and browser type, and the approximate country. Our hosting provider shows us this as anonymous, aggregated visitor numbers so we can see how many people use the site. We do not use it to identify individuals.
We do not use cookies, tracking pixels, advertising networks or any third-party analytics service.
When we issue you an invoice we store:
- Your name
- Your address
- A description of the work carried out
- The amount charged
- Payment status and dates
3. How We Use Your Data
- Booking / contact form: Your details are emailed to us and also saved to our booking list so we can track your enquiry, respond to it and arrange the work. Only we can see that list — it sits behind a password-protected admin login.
- Reviews: Your name, rating, and review text are stored in our database and displayed publicly on our website once approved. Do not include sensitive personal information in your review.
- IP addresses: Used to prevent spam and abuse on our forms, and recorded in our web server logs so we can see basic visitor numbers. Not used to identify you and not shared with advertisers.
- Invoices: Your name, address, and job details are stored securely in our database for record-keeping, accounting, and to comply with HMRC requirements to maintain business records.
4. Legal Basis for Processing
- Contact enquiries: Legitimate interests — we process your data to respond to your request for our services.
- Reviews: Consent — by submitting a review you consent to your name and review being displayed publicly on our website.
- Invoices: Contract and legal obligation — we process your details to provide the service you booked and to keep accounting records as required by HMRC.
5. How Long We Keep Your Data
- Booking enquiries: Kept in our email inbox and in our booking list for up to 12 months, then deleted. If the enquiry led to work we carried out, the invoice record is kept separately for 5 years as HMRC requires.
- Reviews: Kept until you request deletion or we remove them.
- IP addresses (spam prevention): Rate limit records are automatically overwritten and deleted within 24 hours.
- Server logs: Held by our hosting provider for a short period (currently around 7 days), then automatically deleted.
- Invoice records: Kept for a minimum of 5 years as required by HMRC, then deleted.
6. Who We Share Your Data With
We do not sell, trade, or share your personal data with any third parties for marketing.
The only third party involved is our web hosting provider, Hostinger, which stores the website, our email and our database on our behalf. They act as our data processor under contract and may only use your data to provide that service.
7. Your Rights Under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Withdraw consent at any time (for reviews)
- Lodge a complaint with the Information Commissioner's Office (ICO)

8. Cookies
This website does not use cookies. We use no tracking pixels, no advertising networks and no third-party analytics such as Google Analytics. Nothing is stored in your browser, which is why you will not see a cookie consent banner.
The only visitor statistics we see come from our web server's own logs, described in section 2. Those are recorded by the server itself and do not place anything on your device.
9. Data Security
We take reasonable technical measures to protect your data, including encrypted HTTPS connections, server-side input validation, rate limiting, and spam protection on all forms.
10. Changes to This Policy
We may update this policy from time to time. The date at the top of this page reflects the most recent update.
